Scheduling (Early Access Preview)

The Scheduling feature lets admins create, manage, and view employee shifts directly inside the Time Clock Admin Panel. This tool is ideal for wineries managing rotating schedules, events, or seasonal staff. The scheduling module is currently in early access beta.

How to Access the Schedule

  1. Go to Store > Time Clock Admin Panel

  2. Click the Schedule tab

  3. Use the view toggles (top right) to switch between Month, Week, or Day

You can also filter by Schedule Category using the dropdown.


Adding a Shift

  1. Click the Add New button

  2. In the Add Schedule window:

    • Select Shift

    • Choose one or more Employees

    • Assign a Category

    • Set the Date, Start time, and End time

    • (Optional) Toggle Repeat Schedule

    • Click Add

You can also Save as Template for reuse.

✅ Once saved, shifts will appear on the calendar and on each employee’s POS Time Clock view.


Adding an Event (Non-Shift)

Use events to block off days for winery happenings like:

  • Private tastings

  • Pickup parties

  • Facility maintenance

  • Staff meetings

To create an event:

  1. Click Add New

  2. Choose Event

  3. Enter a Title, Date, Start/End Time

  4. (Optional) Enable Repeat Schedule

  5. Click Add

🗓 Events will display in the calendar but do not affect timesheets or payroll.


Managing the Calendar

Use the Actions dropdown for batch operations:

  • Import or Export shifts

  • Send via Email to notify employees

  • Clear Schedule to reset shifts

Each week and month displays total scheduled hours per employee.


Shift Templates

You can save commonly used shift blocks as templates to speed up future scheduling:

  • Click Save as Template from the Add Schedule window

  • Access templates under the Templates tab


Employee Experience

  • Employees can view their assigned shifts for today and tomorrow directly in POS > Time Clock

  • Shifts are visible by category and time

  • At this time, employees cannot request or edit shifts


Best Practices

  • Use Schedule Categories to align shifts with pay rates, tips, and commissions

  • Reference employee Unavailability to avoid conflicts

  • Plan weekly in advance, then duplicate shifts forward using Actions > Copy (coming soon)


FAQs

Q: Can employees request shifts?
A: Not currently. Scheduling is controlled by admins.

Q: Can I create recurring shifts?
A: Yes. Use the Repeat Schedule toggle when adding a new shift.

Q: Can I send shifts to employees by email?
A: Yes. Use Actions > Send via Email to notify your team. You can send a PDF or CSV to one or multiple employees. You can choose the month and if employees should view their own or all shifts.
