Paid Time Off (PTO) – Overview & Setup

The Paid Time Off (PTO) feature lets you track time off directly inside the Time Clock App. Admins can set accrual policies and approve time-off requests all within Commerce7. This guide covers how to configure PTO policies and manage time-off requests for your team.

How It Works

  1. Open the Time Clock Admin Panel
    Go to Store > Time Clock Admin Panel in Commerce7.

  2. Navigate to PTO Settings
    In the Admin Panel, click on Settings > Paid Time Off (PTO) Policies to configure your rules.

  3. Enable PTO
    Toggle the Enable PTO switch to allow employees to begin accruing and requesting time off.

  4. Configure Accrual Rules

    • How many PTO hours can employees accumulate?
      Enter the total number of hours each employee can earn per year (e.g., 80 hours).

    • When does an employee start accumulating PTO?
      Set the number of months after their hire date when PTO begins (e.g., 1 month).

    • How many PTO hours carry over to the next year?
      Define how many unused hours roll over annually (e.g., 40 hours).

  5. Click Save
    After filling in the settings, click Save to activate your policy.


Admin Controls

Once enabled, Admins can:

  • View and approve time-off requests (via the Approvals tab)

  • Adjust individual employee PTO balances (via the Employees tab)

  • Export PTO data for payroll purposes when exporting timesheets


Best Practices

  • Align PTO settings with your internal HR policies or employee handbook

  • Communicate when PTO starts accruing to new hires

  • Review requests regularly to keep your calendar up to date


FAQs

Q: Can I have different PTO policies for different roles or locations?
A: Currently, the PTO policy applies globally across all employees. Customization per group is not yet supported. You can request that feature here!

Q: Can I manually update someone’s PTO balance?
A: No. PTO balances cannot currently be updated manually. If you need to adjust an employee’s balance, please contact us at hello@vc.wine.

Q: Do employees see their PTO balance?
A: Yes. Staff can view their balance and request time off by going to POS > Time Clock.
