Managing Approvals

The Approvals tab allows administrators to review and approve two types of employee requests: Time Off Requests (PTO) and Timesheet Edits.  These requests appear in a single unified queue, organized by status: Pending, Approved, or Denied.

How to Access Approval Requests

  1. Go to Store > Time Clock Admin Panel

  2. Click on the Approvals tab in the top navigation

  3. Use the dropdown to filter by Pending, Approved, or Denied

Each entry includes:

  • Employee Name

  • Type (e.g., Time Off Request)

  • Details (e.g., date range)

  • Comments (if submitted by the employee)

  • Action buttons: View, Approve, or Deny


Reviewing and Managing Requests

View Request Details

Click View to open a detailed modal that shows:

  • Requested dates/times

  • Total hours (for PTO)

  • Employee notes or comments

✅ Approve a Request

  1. Click Approve

  2. Optionally enter admin notes or internal comments

  3. Click Approve again to confirm

❌ Deny a Request

  1. Click Deny

  2. Enter the reason in the Comments field

  3. Click Deny again to submit

📧 The employee will receive an email with the outcome of the request (approved or denied), including any comments you add.


Time Off Request Behavior

  • Once approved, PTO is automatically subtracted from the employee's available balance

  • Approved time off appears in the employee’s schedule and is included in export files

  • Denied requests remain visible but do not affect accruals


Timesheet Edits

When an employee submits a Timesheet Edit, they are requesting changes to:

  • Clock-in/out times

  • Break/lunch periods

  • Shift corrections or missed punches

You can review and approve or deny these just like PTO requests.


Best Practices

  • Review requests daily to avoid payroll delays

  • Use the comment box to document reasons for denial or approval notes

  • Use filters to review past approvals for audits or disputes


FAQs

Q: Can employees cancel a request after submitting?
A: No. Only admins can remove a request. Employees should notify a manager if submitted in error.

Q: Are approvals synced with the employee schedule?
A: Yes. Approved time off blocks are reflected in both the admin calendar and the employee’s external view.

Q: What happens if I approve overlapping requests?
A: The system does not restrict overlaps. Use your judgment to resolve conflicts.
