How to Export Timesheets for Payroll

Exporting timesheets is a key part of running payroll. The Time Clock App makes this easy by generating a clean CSV file that includes total hours worked—and, if enabled, PTO, tips, commissions, and overtime. This guide walks you through how to export accurate timesheet data for your payroll provider.

How to Export Timesheets

  1. Go to Reports > Employee Timesheets
    From the Commerce7 admin panel, navigate to Reports > Employee Timesheets.

  2. Click on Export
  3. Select Employees

    • Choose All Employees, or check individual names

    • Toggle Show Deactivated Employees if needed

  4. Optional Export Settings 

    • ✅ Include subtotals for each employee

    • ✅ Include lunch and/or breaks (Paid Feature)

    • ✅ Include timesheet comments

    • Sort order: First name or Last name

  5. Click Export

    • Click the blue Export button to download the CSV

    • Open in Excel, Google Sheets, or upload to your payroll provider


What’s Included in the Export

The exported file contains:

  • Employee Name and Email

  • Clock In / Clock Out Timestamps

  • Shift Duration

  • PTO Hours (if enabled)

  • Tips (if enabled)

  • Commissions (if enabled)

  • Overtime Hours (if enabled)


Tips for Payroll Prep

  • Approve any pending timesheet edits in Approvals before exporting

  • Use the dashboard to identify missed punches or gaps in coverage

  • Store exports by pay period for audit or reference


FAQs

Q: Where exactly is the export button?
A: In Reports > Employee Timesheets, after selecting a date range, you’ll see the Export option near the top right of the table.

Q: Are all paid feature columns included automatically?
A: Yes. If PTO, Tips, Commissions, or Overtime is enabled in your settings, they will be included in the export.

Q: Can I export the same period more than once?
A: Absolutely. There’s no limit on exports.
